Never ordered wedding invitations before? Here’s exactly how the process works.

A step-by-step guide to order custom wedding invitations, timelines and what to expect

If you’re wondering how to order wedding invitations or what the process actually looks like, you’re in the right place. Like most of my clients, you’ve never ordered custom wedding invitations before and may feel unsure about the process.

And honestly, you’re not alone.

Most mothers of the bride, myself included, chose invitations from a book. I remember picking mine out at a local jewelry store. It was simple, straightforward, and there wasn’t much to think through.

Today, it’s completely different.

The options are endless, the process is unfamiliar, and even the people you’d normally turn to for guidance are experiencing this for the first time too.

So what does the custom wedding invitation process actually look like, and how do you know if it’s the right fit for you?

Custom invitations are very similar to putting a room together. You start with a vision.

By this point in your wedding planning, you’ve likely already made some key decisions—you’ve secured your venue, chosen a date, selected your colors, and maybe even finalized your florals. All of these details give me a sense of the kind of wedding you are planning.

Is it black tie? Formal? A lakeside celebration? A traditional church ceremony?

Each of these elements helps shape the design of your invitation suite.

And that matters more than you might think.

Your invitations quietly communicate to your guests what kind of experience they can expect. They should feel aligned with the overall aesthetic of your wedding. Like a natural extension of everything you’ve been planning.

Because if we’re being honest, we’ve all opened a wedding invitation and immediately thought…am I wearing a cute blouse and jeans, or am I about to go find a killer dress?

And that’s exactly the role of wedding invitations:  to communicate the type of event your guests can expect.

Now, with that said, the direction you choose depends entirely on what you want, your budget, timeframe, and honestly… your tolerance level for decision-making.

There are many options available today: digital invitations, template-based designs from places like Canva, Minted, or Etsy, and semi-custom collections that allow for some personalization with colors and wording.

But not everyone is looking for a one-size-fits-all experience.

Some brides are drawn to something more intentional. Like honoring family traditions, deep sentimental details, and a design that feels entirely their own. They want an invitation that doesn’t just announce their wedding, but reflects it.

If that sounds like you (and if you’re still reading) I have a feeling you’re in the right place.

What Happens During the Custom Invitation Design Process?

It begins with a simple inquiry form on my website. I’ll ask a few foundational questions like your wedding date, guest count, location, just enough to understand the scope of your celebration.

From there, I personally review your inquiry and send over my Custom Wedding Invitation Guide so you can get a clear sense of what it’s like to work together. When you are ready, we’ll schedule a discovery call.

This is where everything starts to take shape.

After our conversation, you’ll receive your Invitation Compass, a personalized roadmap that outlines different design directions based on your wedding, style, and timeline. It also gives you clarity on where you are in the process and where we’re headed next, so you’re never left wondering if you’re too early…or cutting it too close.

At this point, we also get a sense of whether we’re the right fit for each other.

Do we align on aesthetics? Investment? Timeline? Do you feel a sense of relief knowing the logistics (assembly, addressing, mailing) will be handled for you? And most importantly, do you feel confident trusting me as your creative partner?

What Happens During the Design Phase?

This is where things start to feel real and where your invitations begin to take on a life of their own.

Together, we’ll explore the elements that make your suite uniquely yours: font pairings, color palettes, print methods, and any custom artwork that reflects something meaningful the two of you share. Your suite begins to take shape, slowly coming to life.

For some couples, like Sarah, it’s incorporating a family crest passed down through generations. For others, it’s the thought of reading handwritten notes from their guests, like Annalee, or honoring a place filled with memories, like Tiernan.

These are the kinds of details that begin to shape a suite into something truly personal.

This phase takes time…and it should.

It’s not something to rush. This is where your invitations move beyond being just “paper” and become something you’ll want to hold onto.

And truthfully, this level of detail isn’t for everyone. Some brides prefer something quicker and more straightforward. Decision-fatigue can begin to set in because many decisions have to be finalized, not just for invitations but for the wedding process as a whole, before the invitations can be complete.

But for those who choose custom, it’s a collaborative, creative process. Like having your own personal designer bringing something to life just for you.

One of my brides once said, “I just love getting your emails.”

And that, to me, says everything.

How Long Does the Custom Wedding Invitation Process Take?

The timeline can vary depending on your wedding date and how detailed your design becomes, but most clients spend about four to eight weeks in the design phase.

And just like designing a home, the best ideas often evolve.

Some of the most meaningful details come from those “what if we tried this…” moments—the ones you don’t always see coming at the beginning.

Once the design direction is finalized, the process moves into its final, more detailed phases before production.

What Happens During the Proofing Process?

This is one of the most important steps and one I take very seriously.

You’ll review your entire suite line by line, card by card, ensuring every detail is exactly as it should be before we move into production.

My proofing process is intentionally thorough. It’s designed to catch anything that could lead to costly reprints or overlooked details including spelling, dates, wording, layout.

And it’s also the point where many of the final pieces of your wedding start coming together.

Details from other vendors—transportation timing, hair and makeup schedules, welcome events—often need to be finalized before your invitations can go to print. Especially if you’re planning a multi-day celebration, there can be a lot of moving parts.

And this is where things can start to feel a little overwhelming.

But you won’t be navigating that alone.

If timelines need to shift or details are still being confirmed, we simply pause where needed. There’s no pressure to rush decisions before they’re ready.

My role during this phase is to help guide you through the process—to give you the space to finalize those details while knowing your invitations will come together exactly as they should.

It’s meticulous by design… because this is your wedding, and every detail matters.

Is Assembly, Addressing, and Mailing Included?

Once your suite is approved and sent to print, this is where many of my clients feel a true sense of relief.

Because from this point on, I take care of the rest.

I oversee production, manage quality control, assemble each suite, address your envelopes, and prepare everything for mailing.

There’s no second-guessing how pieces should be stacked, no coordinating with printers, no sourcing ribbons or wax seals, and no spending evenings addressing dozens (and dozens and dozens) of envelopes.

And if you’re wondering about etiquette - like whether an adult child living at home receives their own invitation (they do) - I will guide you through that too.

For many of my clients, this is the moment they can fully step away from the logistics, knowing everything is being handled.

If this feels like the right fit

If you’ve made it this far, you’re probably starting to feel a little more confident about how all of this works.

And maybe even a little excited.

If you’re drawn to the idea of something sentimental, personal, and completely taken care of, custom invitations might be exactly what you’re looking for.

If so, I’d love to hear what you’re planning.

What most couples want to know

  • Most couples begin the custom invitation process about 5-6 months before their wedding date.

This allows time for design, proofing, and production without feeling rushed. If you’re planning a destination wedding or multi-day celebration, starting a bit earlier is always a good idea.

If you’re unsure where you fall in that timeline, I’ll guide you so you know exactly when to begin.

  • The full process typically takes 8–12 weeks from start to finish.

    This includes:

    • design and revisions

    • proofing

    • printing and production

    • assembly and mailing

Some timelines move more quickly, while others take a bit longer depending on the level of detail but I’ll walk you through what to expect based on your wedding.

  • Not at all.

Most of my clients come in with a general sense of their wedding—venue, colors, overall style—but not a fully formed vision for their invitations.

    That’s where I come in.

I’ll guide you through the design direction, ask the right questions, and help shape something that feels cohesive with your wedding as a whole.

  • Yes. T his is something I guide you through every step of the way.

From formal wording to addressing envelopes correctly, I’ll make sure everything is written and presented in a way that feels both appropriate and natural for your wedding.

If you’ve ever wondered things like:

    • who gets their own invitation

    • how to list parents

    • what to include on each card

you don’t have to figure that out on your own.

  • That’s actually very common.

Many couples are still confirming details with other vendors during the invitation process. If timelines shift or details are still coming together, we simply adjust as needed.

There’s no pressure to rush decisions before they’re ready.

My role is to guide you through that process and make sure everything flows together seamlessly once your invitations are sent.

  • Each suite is designed specifically for you, but most include:

    • the main invitation

    • a response card

    • a details card

From there, we can incorporate additional pieces depending upon your wedding and your vision.

  • Yes.

I oversee production, assemble each suite, address your envelopes, and prepare everything for mailing.

This means you don’t have to worry about:

    • how everything fits together

    • coordinating with printers

    • or spending hours addressing envelopes

    It’s all handled for you.

  • If you’re looking for something quick and straightforward, there are many great template options available.

But if you’re drawn to something more personal, something that reflects your wedding, and the experience you’re creating for your guests, custom invitations offer a completely different experience.

For many of my clients, it’s not just about the paper.

It’s about an elevated experience where you feel guided, supported, and understood throughout the process.
